Job Description:
- Parts Receiving:
- Receive incoming parts shipments from suppliers and vendors.
- Inspect packages for damages, discrepancies, or missing items.
- Verify the accuracy of shipment contents against accompanying documents, such as packing lists and purchase orders.
- Report and document any discrepancies or damages to the parts manager.
- Inventory Management:
- Accurately enter received parts into the dealership’s inventory management system.
- Organize and store parts in designated locations, ensuring easy accessibility and inventory accuracy.
- Conduct periodic physical inventory counts and assist with inventory reconciliations.
- Order Fulfillment:
- Process parts orders placed by customers, technicians, and other departments within the dealership.
- Locate and retrieve requested parts from inventory and package them appropriately for shipment or customer pick-up.
- Ensure timely and accurate order fulfillment to meet customer demands.
- Shipping and Packaging:
- Prepare outgoing parts shipments for delivery to customers and other dealerships.
- Package parts securely to prevent damage during transit.
- Generate shipping labels and maintain shipping records.
- Parts Documentation:
- Maintain organized and up-to-date records of all incoming and outgoing parts shipments.
- Track parts orders and shipments to provide accurate status updates to customers and internal staff.
- Communication and Customer Service:
- Communicate with customers, suppliers, and other dealership departments regarding parts orders and shipments.
- Provide excellent customer service by addressing inquiries, resolving issues, and ensuring customer satisfaction.
- Safety and Compliance:
- Adhere to safety protocols and guidelines when handling, storing, and shipping parts.
- Comply with dealership policies, procedures, and industry regulations related to parts management and shipping.
- Parts Delivery
- Coordinate and execute the delivery of parts to customers, as well as other dealerships or automotive service centers.
- Safely load and secure parts in the delivery vehicle to prevent damage during transportation.
- Communicate any delays or issues with deliveries to the parts manager and customers, providing proactive solutions when possible.
Experience/Qualifications:
- Education: High school diploma or equivalent.
- Experience: Previous experience in parts shipping and receiving in an automotive dealership or a similar setting is preferred
- Knowledge: Basic understanding of automotive parts and their identification codes is advantageous. Familiarity with inventory management systems and computer software is a plus.
- Organizational Skills: Strong organizational and multitasking abilities to handle a fast-paced environment with multiple incoming and outgoing shipments.
- Attention to Detail: Being detail-oriented is crucial to accurately process and document parts transactions, ensuring inventory accuracy.
- Communication Skills: Effective communication skills to interact with team members, customers, and suppliers, as well as provide excellent customer service.
- Physical Requirements: The ability to lift heavy objects and perform physical tasks related to parts handling, such as loading and unloading parts shipments, 55 pounds.
- Driving Skills: A valid driver’s license and a good driving is required for the role.
- Safety Awareness: Knowledge of safety protocols and guidelines when handling, storing, and shipping parts to maintain a safe work environment.
- Problem-Solving: Ability to identify and report discrepancies or damages in shipments and work with the parts manager to find solutions.
